Is this you?
You are the bottleneck
Every quote, every invoice, every customer question comes through you. Not because it needs you, but because there is nobody else to do it. The real work starts after six.
Things are slipping
Customers wait two days for an answer that takes two minutes. Onboarding is inconsistent. Nothing is on fire, but the small stuff is quietly costing you repeat business.
Either way the answer is the same: one person whose actual job is the day to day, so it stops being done in the gaps of yours.
The role
Scoped with you before they start, so nothing is assumed. A typical brief covers:
Incoming email handled to your standard, answered where they can and escalated where they should.
Questions, changes and problems answered same day, so nobody waits two days for a two minute reply.
New clients taken through the same steps every time, with nothing forgotten because you were busy.
Quotes prepared and sent, invoices raised, and the follow-ups that usually get forgotten actually made.
Diaries, bookings and confirmations managed so your week is arranged before it starts.
Records kept current, so your system is something you trust rather than something you work around.
If your list looks different, that is the conversation. The role is built around how you already work, not a template.
The difference
Most offshore admin is a shared assistant working across a dozen businesses from wherever they happen to be. That works until you need them at 9am on a Monday and they are on someone else's job.
Full-time on your business and no one else's. They learn how you work instead of skimming twelve different ways of working.
They work from our Kathmandu office, which we pay for and run, not from a home laptop you will never see.
An Australian account manager owns the relationship, meets you weekly and is who you call when something needs fixing.
Quality you can see
This person talks to your customers, so the standard matters more than the hours. Here is how it is held rather than a promise that it is fine.
How you do things is documented with you during onboarding, so there is a standard to hold them to rather than a guess.
Our system reviews the work rather than sampling it, and where something is off, they are coached through it instead of left to repeat it.
Tasks, priorities and what is waiting on approval sit in one portal, so you can see the day without asking about it.
How it starts
Step 01
A working session on what is actually eating your week, what should never have been your job, and what the role needs to cover.
Step 02
We find the person, you meet them, and your processes are documented and trained before they touch a live customer.
Step 03
Full-time on your business, with the work visible in the tracker and a weekly meeting with your account manager.
Investment
The same rate for everyone, published rather than quoted.
The guarantee
If the person is not the right fit, tell us and we replace them at no cost, at any time. Not in the first 30 days. Any time. We can offer that because we are not recruiting for you and walking away: the person sits in our office, so replacing them costs us a week, not a search.
No lock-in contract and no minimum term. You stay because it is working.
Wrong fit replaced at any time, at no cost. Finding and keeping the right person is our job.
What we document during onboarding belongs to you, so a replacement steps into something that already works.
Common questions
We do not hide it and we would not advise you to. Your team member is based in Kathmandu, in our managed office, with Australian oversight. What customers notice is that someone answers quickly and knows the account, which is the thing they actually care about.
You meet the person before they start, on a call, and you decide. That is the only answer to this question worth anything. If they are not right for your customers, they are not the right placement and we find you someone else at no cost.
More in the first two weeks than you would like, and much less after that. We document your processes with you during onboarding, which is the work that makes everything afterwards possible. Anyone who tells you an embedded person needs no training from you is selling you something.
Your business hours, with the overlap agreed before they start. We will be straight with you on the call about what is realistic.
We do. They work inside a secure managed office with local team leadership, and your Australian account manager owns the relationship. You get one weekly meeting and full visibility in the tracker, not another person to supervise.
The work is reviewed rather than sampled, so it is usually caught before you hear about it. When something does go wrong, it goes back into the documented process so the same mistake does not happen twice, and your account manager tells you rather than waiting for you to find out.
Team members work from a secure managed office paid for by Expand Quickly, on equipment we own and manage, under IP and data protection protocols. Access is granted by you at the level you choose, and can be revoked by you at any time.
Yes. We work with the tools you already run rather than asking you to change. Tell us your setup on the call.
We replace them at no cost, at any time. Finding and keeping the right fit is our job, not yours, and the processes documented during onboarding belong to the role rather than the person, so a replacement steps into something that already works.
No. Month to month, and you can leave at any time. We do suggest giving it a few months, because it takes time for someone to learn a business properly. That is a recommendation, not a contract.
Some of it, and it depends on the person and the volume. If what you really need is someone on the phones or someone in the books, we would rather place the right role than stretch this one thin. Raise it on the call and we will tell you honestly.
No. The rate is $1,800 + GST a month and that includes the onboarding, the office, the equipment and the account management.
$1,800 + GST a month, month to month
Fifteen minutes with Sean. We go through what is actually eating your week, what should never have been your job, and whether a full-time person would change that. If it would not, we will tell you.
This suits businesses with enough day to day work to keep someone busy properly. If it is a few hours a week, a full-time person is the wrong answer and we will say so rather than sell you one.
