Embedded bookkeeping and accounting support

A full-time bookkeeper who works for your business, and nobody else.

The reconciliations, the invoicing, the debtors, the payroll prep. Done every day by one person who knows your file, working from our managed office on equipment we own, alongside the accountant you already have.

One Client each. Your person is never shared across accounts.

Is this you?

Two ways businesses end up here.

You are doing it yourself

The books get done on Sunday night, or they get done in a panic before BAS. You are not bad at it. It is just not what you should be spending your evenings on.

Your accountant is doing too much of it

You are paying professional rates for data entry and chasing invoices, because there is nobody in between. The work that needs an accountant is a fraction of what they are handling.

Either way the answer is the same: a full-time person who owns the day to day, so the expensive brains only touch the work that needs them.

The role

What they actually do all day.

Scoped with you before they start, so nothing is assumed. A typical brief covers:

Daily transactions

Recording and coding transactions, keeping the ledger current rather than reconstructing it at quarter end.

Bank reconciliations

Accounts reconciled on a schedule you set, with anything unmatched raised rather than guessed at.

Accounts payable

Supplier bills entered, approvals routed to you, payment runs prepared for your sign-off.

Accounts receivable

Invoices raised and sent on time, statements issued, and overdue accounts followed up consistently.

Payroll preparation

Timesheets collected and checked, pay runs prepared and presented to you or your accountant to approve.

Reporting and file hygiene

Month end tidied, reports prepared, and the file kept in a state your accountant does not have to fix first.

If your list looks different, that is the conversation. The role is built around your file, not a template.

Who you get

Experienced, and matched to your file.

Experience

Already done this work

We place people with real bookkeeping experience, not trainees learning on your accounts. Depth is matched to the complexity of your file.

Software

On the system you already use

We match to your existing setup rather than asking you to change it. Tell us what you run and we will place accordingly.

Fit

You meet them first

You are part of choosing the person who ends up in your books. If they are not right, they are replaced at no cost.

The difference

One client each. Our office, our equipment.

Most offshore bookkeeping is a shared resource working across a dozen files from wherever they happen to be. That is fine until something goes wrong, and then nobody owns it.

Yours alone

Full-time on your business and no one else's. They learn one file properly instead of skimming twelve.

A real, managed office

They work from our Kathmandu office, which we pay for and run, not from a home laptop you will never see.

Australian oversight

An Australian account manager owns the relationship, meets you weekly and is who you call when something needs fixing.

Your financial data

Handled on our systems, under our protocols.

This role sees more of your business than any other one we place, and it should be the part you interrogate hardest. So here is how it is handled rather than a promise that it is safe.

Company equipment only

The work happens on computers Expand Quickly owns and manages, inside a secure managed office. Never a personal device.

Access you control

They get access to the systems you grant and nothing else, at the permission level you set. You can revoke it at any time without going through us.

Approvals stay with you

Payment runs and payroll are prepared for approval, not executed. The person who releases money is still you.

Where we fit

Alongside your accountant, not instead of them.

We place the person who does the daily work. Your registered accountant or BAS agent keeps doing what only they can do: lodgements, advice, sign-off and anything that carries their registration behind it.

Most clients find the relationship gets better, not worse. The accountant stops doing data entry at professional rates and gets a clean file to work from, which is what they wanted in the first place.

If you do not have an accountant yet, say so on the call. That is a gap worth sorting before this starts, and we will tell you so.

How it starts

Ten days from the process build to their first day on your file.

Step 01

Scope the role

A working session on what is actually on your plate, what your accountant is doing that they should not be, and what the role needs to cover.

Step 02

Match and onboard

We find the person, you meet them, and they are trained on your processes and systems before they touch your live file.

Step 03

They start

Full-time on your books, with a weekly meeting with your Australian account manager to review and adjust.

Investment

The price depends on the role.

A bookkeeper keeping a clean file and an experienced accounting support person handling a complex one are different jobs, and pricing them the same would be dishonest to one of you. We price the role once we know what it covers.

What does not change: month to month, no lock-in contract, and the wrong fit replaced at no cost at any time.

The guarantee

The Seat Swap

If the person is not the right fit, tell us and we replace them at no cost, at any time. Not in the first 30 days. Any time. We can offer that because we are not recruiting for you and walking away: the person sits in our office, so replacing them costs us a week, not a search.

Month to month

No lock-in contract and no minimum term. You stay because it is working.

No replacement cost

Wrong fit replaced at any time, at no cost. Finding and keeping the right person is our job, not yours.

Your file stays yours

The processes we document during onboarding belong to you, so a replacement steps into something that already works.

Common questions

What business owners ask us first.

Can they lodge my BAS?

No. Lodging BAS for a fee requires registration as a BAS or tax agent in Australia, and that stays with your registered agent or accountant. What we place is the person who does the daily work so that the lodgement is a short job on a clean file instead of a reconstruction.

Are they a qualified CPA or CA?

No, and we will not describe them as one. Those are protected Australian designations. We place experienced bookkeepers and accounting support staff who do the day to day work under your direction and alongside your qualified accountant.

Do I have to change my accounting software?

No. We match the person to what you already run rather than asking you to move. Tell us your setup on the call.

Who checks their work?

You and your accountant, the same as any bookkeeper. Your Australian account manager owns the relationship and meets you weekly, and anything unclear in the file gets raised rather than guessed at, which is the single biggest difference between a good bookkeeper and a cheap one.

Can they move money?

Only if you give them that access, and we would suggest you do not. Payment runs and payroll are prepared and presented for your approval. Releasing money stays with you.

How is my financial data protected?

The work happens on Expand Quickly computers inside our secure managed office, under our IP and data protection protocols. Access is granted by you, at the level you choose, and can be revoked by you at any time without going through us.

Where is the team based?

Kathmandu, in our own managed office, with Australian oversight. We name it openly because it is part of how the model works, not something to hide.

What if the person is not the right fit?

We replace them at no cost, at any time. Finding and keeping the right fit is our job, not yours, and the processes we document during onboarding belong to the role rather than the person, so a replacement steps into something that already works.

Am I locked into a contract?

No. Month to month, and you can leave at any time. We do suggest giving it a few months, because a bookkeeper needs time to learn a file properly. That is a recommendation, not a contract.

What hours do they work?

Your business hours, with the overlap agreed before they start. We will be straight with you on the call about what is realistic.

How much does it cost?

It depends on the role and the level of experience it needs, so we price it once we know what it covers. It is month to month either way, with no lock-in and no cost to replace someone who is not right.

Can they do more than bookkeeping?

Often, yes. Many of these roles absorb admin, invoicing chase-ups and customer account queries alongside the books, because it is the same person with the same context. Worth raising on the call, since it changes the scope.

Month to month, replaced free if the fit is wrong

Fifteen minutes tells you whether this is real.

Fifteen minutes with Sean. We go through what is on your plate, what your accountant is doing that they should not be, and what the role would actually need to cover. If a full-time person is not the right answer for you yet, we will tell you.

This suits businesses with enough regular bookkeeping to keep someone busy properly. If your books are a few hours a month, a full-time person is the wrong answer and we will say so rather than sell you one.
